Introduction
“I was amazed at how accurate the Digital Pen strokes were. The handwriting looks natural and of course there are no coffee stains on the paper! Bluetooth works perfectly without user interaction once the device is 'paired' with the phone, and I found the digital forms arrive within 5 seconds!”, (Darren Leo, CTO, Welsh & Leo)
The Challenge
Welsh & Leo were grappling with inefficiencies in their business processes every day as service engineers had to fill in paper forms, and then physically deliver their service and planned maintenance reports back to the company’s office. That hand-written report data then had to be keyed into the company’s job management and billing system (JMBS). In order to maximize the effectiveness of its service engineers, Welsh & Leo needed to find a way to reduce or even eliminate the amount of time that the engineers spent returning to the office to carry out administrative tasks. It also wanted to remove the duplication of work required to enter report data into its JMBS.
The Solution
Welsh & Leo, chose Destiny Wireless’ Digital Pen and Paper (DP&P) technology for the transmission of service reports from trades people in the field to service headquarters. DP&P is used to complete paper-based field service reports and with one tick of a box the entire report is transmitted back to headquarters in real time.
The Result
“We have found that Destiny’s™ solution has numerous advantages”, (Darren Leo – Welsh and Leo). These include 100 percent data accuracy, real-time data delivery to multiple outlets, increased data availability, and cleaner and faster communication channels. All of these advantages have profound positive affects on both monetary and time costs, resulting in a highly efficient workforce.
Destiny’s™ DP&P solution allows Welsh & Leo to directly input its customer service documents into the company’s job management and billing system. Each form is completed in the field and the image is then transmitted to a website. Handwriting Recognition Software is used in conjunction with Anoto’s™ paper pattern which converts handwritten notes, captured on the digital paper, into text, including converting vital information such as hours worked, billable hours, and customer service follow-up requirements, it also time-marks all of these fields. When the digital paper form is checked, the data is submitted directly into JMBS. functions using technology developed by Anoto™.
The image of the sheet can also be e-mailed to major facility management customers, which saves multiple administration steps. There is no longer any need for data entry by administration staff – just basic editing. No training is required for field staff to use the DP&P solution.
